Where intake quietly breaks
- The lunch-hour call. A new client rings at 12:40. The front desk is out, the call drops into a generic mailbox, and by dinner that client has spoken to two other firms.
- The hearing-day call. The partner who signs new clients is in court. The call should reach someone who can take the details and set the callback, not ring until the caller gives up.
- Some conversations have to be kept. Those conversations need a recording you can find again months later, play back, and export. That should be routine, not a project.
- The 6pm client. People leave work and call then. When voicemail lands in the right inbox, the callback happens first thing in the morning. When it does not, the callback never happens at all.
- Two offices, one system. A caller should reach the right lawyer wherever the firm sits. Extensions follow the people, not the building.

Read the fine print before you sign
- Features priced for a call center. Walls of dashboards look impressive and get used by nobody. A firm needs calls answered, routed, recorded, and found again. Pay for that, and question the rest.
- Recording terms that go vague at signing time. How long are recordings kept? Who can search them? How do they get exported? Get answers specific enough to repeat to a client.
- A support line nobody has tested. Ask who answers when something breaks at 8:45 on a filing day, and how long they take. Test it before you need it.
- The number that keeps growing. Get the full monthly cost for your headcount, every add-on included, before you compare anything.
THE SWITCH, HONESTLY
Change the system, not the numbers
The horror stories are about lost numbers and weeks of voicemail chaos. The way a move actually works here: your numbers port over, the old system keeps running until the new one has proven itself, and the project belongs to someone else, not to your office manager. Most firms are fully switched inside three weeks.
