A Tuesday morning, as the phone sees it
- 8:00. Two patients check in at once, and the first call of the day is a new patient asking whether the practice takes their plan. Somebody has to answer with a smile in their voice.
- 10:30. Hygiene is full. The phone rings during a crown prep and goes to the mailbox. It was a new patient. They dial the next name on their list before the greeting finishes.
- 2:15. The recall list is due today. Dialing confirmations one by one eats the whole afternoon.
- 4:50. A patient wants to move tomorrow's appointment. If rescheduling needs hold music and a transfer, tomorrow has an empty chair.
- A second office should not mean a new set of numbers. Callers simply reach the practice.

MOVING, EXPLAINED
A switch the front desk will barely notice
What offices fear is simple: a change week full of wrong numbers and annoyed patients. So the move gets planned around patient hours. Your main line stays yours and keeps ringing, calls keep being answered, and the cutover happens when the schedule can afford it. Nothing dramatic, which is exactly the point of doing it carefully.
Before you compare quotes
- Demo polish. Every system looks calm with three phones on a desk. Ask what happens with five calls live and one hygienist at lunch.
- The quote counts seats and nothing else. Phones for treatment rooms, a shared front desk line, the add-on list: make sure the quote covers the real office, not a tidy version of it.
- Reminders can bill extra. If confirmations and recalls need a paid tier, hear that in the quote, not on the first invoice.
- Support goes untested. A dead line with a full lobby is an emergency. Find out who picks up and how fast, before it happens to you.
